2nd Phase of Project Management

The Work Phase is the heart of project management. It is the phase where the project team puts the plan into action and delivers the project’s deliverables. In this phase, the project team starts working on the project. The team begins to execute the project plan, which includes tasks, timelines, and resources. The team will also start to communicate with stakeholders and manage risks. This Work Phase is also where the Project Manager monitors the progress and ensures it is on track. The Project Manager will track the scope, schedule, budget, and quality. The Project Manager will also identify and manage any risks or issues that may arise.

The Work Phase is a critical phase of project management. It is the phase where the project is delivered. The project’s success depends on the effective execution of the project plan and the effective monitoring and controlling of the project’s progress.

Key Activities

  • Creating and executing the project plan, which is the project roadmap from start to finish. It includes the project’s scope, schedule, budget, and quality. The project team will use the project plan to guide work.
  • Communicating with stakeholders throughout the Work Phase will help to keep external and internal stakeholders informed of the project’s progress and will provide the opportunity to gather their project input.
  • Identifying and managing any risks arising during the Work Phase will help to keep the project on track.
  • Delivering the project’s deliverables to the customer, which is the ultimate goal of the Work Phase and the project.

Project Deliverables

Purpose

The purpose project management deliverables include a Requirements Status List, Change Management Plan, Change Requests, Change Log, and a Phase Gate Review Report.

Time

The time project management deliverables include a Project Schedule with % progress, Baseline Schedule with Variances, and a Critical Path Timeline.

People

The people project management deliverables include an updated Resources List, External and Internal Stakeholders List, and Vendor List.

Money

The money project management deliverables include a Cost Burndown Chart and Budget Monitoring Dashboards and Reports.

Communications

The communications project management deliverables include Meeting Agendas, Meeting Materials, Meeting RACI (responsible, accountable, consulted, informed) Charts, Meetings Matrixes, Email Meeting Notes, Status Reports, Executive Summaries, Presentations, Newsletter Communications, Memos, Storyboards, SharePoint set ups, etc.

Metrics

The metrics project management deliverables include Dashboards, Histograms, Scatter Diagrams, Bubble Charts, and Status Report with % progress.

RIDAC

The RIDAC (risks, issues, decisions, actions, and changes) project management deliverables include Lessons Learned Document, Best Practices Document, Cause and Effect (Fishbone) Diagrams, Decision Making Trees, and RIDAC Dashboards and Status Reports.

The Work Phase is a complex phase of project management. However, by understanding the key activities and deliverables of the phase, project managers can increase their chances of success. Let’s move on to the Finish Phase.
